Pending Approvals

Purpose

Review and complete approval tasks assigned to you. Pending approvals appear on the dashboard Workflow Activity card and in the workflow approvals list after a manual or automated workflow starts.

Prerequisites

  • You are signed in to EisenVault One.
  • Workflow features are enabled in your environment (see Environment availability below).
  • You have at least one approval task assigned to you.
  • Your account has approve_task and reject_task permissions for the documents in the workflow.

Environment availability

In non-production environments (staging and development), the dashboard Workflow Activity section and Start workflow on document menus are visible. Both are hidden in production builds.

Before You Begin

When a workflow is started — for example after someone clicks Request approval on the canvas — assigned approvers receive tasks automatically.

Pending approvals may appear in:

  • The Workflow Activity widget on the Dashboard.
  • In-app notifications from the bell icon.
  • Email alerts when your organization sends workflow notifications.

If Start workflow or approval tasks are unavailable, confirm that workflow features are enabled in your environment, that you are not on a production build, and that your account has approve_task permission.

Open Your Pending Approvals

EisenVault One uses different list routes depending on which dashboard you use:

Dashboard How to open the list Route
User dashboard Click the Workflow Activity panel, or View all when shown /workflow-approvals
Administrator dashboard Click Pending Approvals or View all (count) in Workflow Activity /dashboard/workflow-approvals

Steps:

  1. Sign in to EisenVault One.
  2. Open Dashboard.
  3. In Workflow Activity, open the pending-approvals list using the path for your dashboard type.
  4. Alternatively, follow a notification link from an assigned approval task.
  5. Review the list of tasks assigned to you.

The full list page title is Pending workflow approvals. Select a row to open the assignment detail view. Use Back to dashboard to return to the dashboard from the list or assignment detail pages.

Assignment Detail View

When you open a task from the pending-approvals list, EisenVault One shows the assignment detail view — not the same screen as run detail on the Runs tab.

The assignment detail view includes:

  • Document name and workflow name in the page header.
  • Priority — for example High, Moderate, or Low.
  • Status — for example PENDING.
  • Request note, due date, department, and file path when provided.
  • Approval activity — a timeline of approval steps for this run, including approver names, step numbers, decisions, and comments.

Use this view to complete your step. For full run monitoring across all steps and audit events, open the run from WorkflowRuns instead. See Approval Details.

Complete an Approval Task

  1. Open a pending approval from the dashboard card or approvals list.
  2. Review the document, request note, priority, and due date on the assignment detail view.
  3. Choose Approve or Reject.
  4. Add an optional comment in the note field when your organization requires or allows it.
  5. Confirm the action.

For Sequential workflows, completing your step creates the next approver's task. For Parallel workflows, other approvers may still have open tasks until all required responses are received.

Overdue approvals

When a task is past its due date, EisenVault One disables Approve and Reject and shows:

This approval is past its due date and can no longer be completed.

The due date is highlighted as overdue on the assignment detail view. Contact the workflow requester or an administrator if the approval still needs to be resolved.

Monitor Workflow Status

Authorized users with view_approval_flow can also review all workflow runs from WorkflowRuns. Summary cards group outcomes as Running, Completed, and Stopped / Failed, while the status filter lists Running, Completed, Stopped, Failed, and Timed out separately.

Expected Result

  • Assigned approval tasks move out of your pending list after you action them.
  • The workflow advances to the next step or completes according to the approval type.
  • The assignment timeline and run detail view update to reflect your action.
