Add or Remove Fields

Purpose

Add, edit, or remove metadata fields on a custom category. These fields appear when users update metadata for a document or folder assigned to that category.

Note: This action may require administrator privileges.

Prerequisites

  • You are signed in as an administrator.
  • The category already exists.
  • You can open Admin-tools > Document Categories.

Before You Begin

EisenVault One supports these metadata field types:

  • Text for short one-line values.
  • Number for integers, decimals, or floating point values.
  • Email for email-format values.
  • Checkbox for multiple allowed values where users may choose more than one.
  • Select Box for multiple allowed values where users choose one.
  • Date for a single date.

Inherited fields appear automatically on child categories. You cannot stop a child category from inheriting a parent field. Avoid deleting fields that are already used by documents; EisenVault One may block deletion and show dependencies.

Add a Field

  1. Open Admin-tools > Document Categories.
  2. Click the category name, or use Edit Metadata from the category row.
  3. On the Form Designer tab, click Add New Field.
  4. Choose the field type.
  5. Enter the field name and configure its settings.
  6. For Checkbox and Select Box, click Add Option and enter each allowed value.
  7. Click Finish, or Save and Add Another when adding multiple fields.

Remove a Field

  1. Open the category's metadata designer.
  2. Select the field checkbox.
  3. Open Delete Options and choose Delete Selected.
  4. Confirm the deletion.

If the field is associated with documents, remove or migrate those metadata values first.

Example Walkthrough

  1. In the category metadata designer, click Add New Field.

  2. Choose a field type. Select Box is useful when users must choose one value from a fixed list.

  3. Enter the field name and option values, then click Finish.

  4. The new field appears in the category's metadata list.

Expected Result

  • The field appears on the category metadata form.
  • Users see the field when they select the category on a document or folder.
  • Search and reports can use the field value after metadata is saved and indexed.
